Executive Officer Duties
The more you put into Toastmasters, the more you get out of it. Serving as a club officer is an
excellent way to develop your Leadership skills. which can benefit you both personally and
professionally.
President
- Serves as the club’s Chief Executive Officer
- Responsible for general supervision and operation of the club.
- In cooperation with the executive team, establishes club goals & plans.
- Directs Club in way which meets educational growth and leadership needs of members.
- Chairs club executive meetings
- Attends area & district council meetings
- Votes at regional and International business meetings
Vice President Education
- Responsible for planning successful Club meetings and Scheduling speeches
- Orients new members to the Toastmasters program (including assignment of mentors)
- Directs planning, organization, and implementation Toastmasters educational programs
(Communication and Leadership, Speechcraft, Contests, etc.)
- Signs Communication and Leadership manuals
- Reports educational program completions to World Headquarters
- As second-highest ranking club officer, presides in the absence of the President.
- Attends executive committee meetings
- Attends area & district council meetings
- Votes at regional and international business meetings
Vice President Membership
- Chairs the club membership committee.
- Builds club membership and ensures that the Club maintains or exceeds a charter membership level of 20 members.
- Works to increase member satisfaction and retention.
- In coordination with Club Treasurer,
and Secretary, responsible for submission of the club's semiannual
report to World Headquarters (including membership list and dues
payment).
- Maintains accurate membership roster and attendance records.
- Attends executive committee meetings
- Attends area council meetings
Vice President Public Relations
- Develops, implements, and administers a program
that maintains a positive image of Toastmasters for all members, guests
and the general public.
- Responsible for internal and external public relations for the Club, including but not limited to:
- preparing and distributing news releases regarding Club activities;
- working with Club officers to develop literature about the Club;
- representing Club with the media.
- Works with the Club Newsletter Editor and Sergeant-at-Arms to maintain an effective program of internal Club communication.
- Attends executive committee meetings
Secretary
- Responsible for club records and correspondence.
- Maintains the membership roster (in coordination with the Vice President Membership)
- Reports membership changes to World Headquarters.
- Custodian of club constitution, bylaws, and all other official club documents.
- Submits updated membership and officer records to World Headquarters.
- Prepares and mails orders for Toastmasters supplies.
- Records and reads minutes of Club meetings and Executive Committee meetings.
- Submits names of newly elected officers to World Headquarters within ten days following election.
- Attends executive committee meetings
Treasurer
- Prepares the annual budget (in cooperation with the Executive Committee)
- Notifies members of dues payable and collects dues
- Receives and disburses funds in payment of all obligations
- Responsible for development and execution of financial policies, procedures, audits, and controls.
- Along with the Vice President
Membership and Club Secretary, ensures semiannual membership reports,
dues, and membership roster are mailed to World Headquarters and
received by April 10 and October 10.
- Attends executive committee meetings
Sergeant-at-Arms
- Responsible for orderly conduct of meeting, including:
- arranging meal service (if applicable),
- setting out materials and equipment,
- meeting room layout,
- collecting ballots,
- tallying votes,
- Responsible for controlling club property between meetings.
- Responsible for serving as master host and making proper physical arrangements for all club meetings.
- Coordinates with Vice President Public
Relations and Vice President Membership to ensure that each member and
guest is welcomed at club meetings.
- Attends executive committee meetings
Immediate Past President
- Provides guidance and serves as resource to club officers and members.
- Assists in the preparation of Club Success Plan and promotes club's efforts to become a Distinguished Club.
- Chairs the Nominating Committee.
